Know The Underwritingᵀᴹ
A historic château. Substantial masonry construction. A non-resident professor. And Daniel Reed, who is certain he has finally found an account for Alison Grant’s habitational program.
Then the questions begin.
Open the preliminary packet, then follow the correspondence below. The producer has a few additional operations to explain.
Fictional training scenario inspired by The Rocky Horror Picture Show. Ownership, employment arrangements, correspondence, news reporting, and insurance figures are invented. In this adaptation, Eddie’s death is an accidental onsite motorcycle fatality.
The preliminary submission
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: New business opportunity | Historic château
Sorry the last couple weren’t a good fit, but I’m really excited about this one. With your habitational program, I think this is right in your wheelhouse.
An established historic château, substantial masonry construction, architectural character, a non-resident professor as owner, an onsite manager, and a small resident staff. Occasional private gatherings are incidental to residential use. I’m looking at the whole account: property, liability, and workers’ compensation.
I don’t have all the information for the ACORD applications yet, and I’m waiting on currently valued loss runs, but I wanted to get it on your radar.
Have you seen this account before? I have a signed Agent of Record letter in hand.
Daniel. Again.
Alison checked the sender, then the program description. Rental properties, apartments, condos, hotels, and motels. Perhaps this one would actually fit.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Initial review
Daniel,
Who rents the château? Is Frank a tenant, employee, or contractor? Who employs the resident staff, and what do they actually do?
Please confirm the named insured, premises address, and occupancy before we discuss terms.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: A little more background
The professor owns the château but does not live there. Frank manages it onsite. I am obtaining the lease, if there is one, and confirming who pays whom.
The butler and domestic handle the usual household responsibilities. They also assist the manager downstairs and help with private cosplay evenings. Music and informal dance instruction, primarily.
Two recent visitors, Brad and Janet, apparently arrived without costumes, but the manager accommodated them.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Accommodated?
Does “accommodated” mean overnight lodging, costumes, or both? Are there charges for admission, lodging, or any other services?
Also, please explain “downstairs.”
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Visitors and facilities
Brad and Janet arrived after their car broke down. I’m still confirming whether they stayed overnight and whether any charge was made.
Downstairs is a laboratory. There is substantial electrical apparatus and some experimental equipment. The staff assists with the work, although I don’t yet have a breakdown of duties.
I have attached the preliminary loss-history summary. One reported claim in five years.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: GL-0047
The one claim has $1,000,000 incurred and involves a guest fatality following an indoor motorcycle incident. The summary identifies the guest as Eddie. His relationship to the insured and employment status remain unconfirmed.
What controls have been implemented to prevent guests from operating motorcycles inside the building?
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Corrective measures
The onsite manager assures me that particular guest will not be riding on the premises again.
My understanding is that this was an isolated incident. Motorcycle riding is not part of the regularly scheduled entertainment.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Entertainment and laboratory
Please provide the regularly scheduled entertainment.
I also need the equipment schedule, electrical inspections, operator qualifications, and details of the staff’s laboratory duties. Household job titles do not describe the work you have now mentioned.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: An additional resident
I’m gathering those items. There is one additional resident to include. The manager advises that Rocky recently came into this world on the premises.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Date of birth
Please obtain Rocky’s date of birth. Does a newborn live at the château? Are childcare or maternity-related services offered there?
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Rocky
No childcare or maternity services.
Rocky is a 25-year-old male.
His date of birth is last Friday.
I recognize those answers may prompt a follow-up question. I’ve already sent one.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Equipment inventory
The equipment inventory lists a laser without identifying its purpose. Are skincare treatments, hair removal, or toenail fungus treatments offered on the premises?
Please identify its operators, their qualifications, and any clientele.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Laser clarification
No cosmetic or podiatric services.
The manager describes it as a security device. The photograph shows a handheld unit with a trigger.
I’ll revise the equipment description.
I’m told access is restricted to senior personnel.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Access and accessibility
Who are the senior personnel? What training, authorization, storage, and safeguards apply? A job title does not establish an adequate control.
You mentioned the professor uses a wheelchair. Please confirm accessible entry, routes between floors, bathrooms, and evacuation arrangements for his visits. Given the lodging and event activities, send any accessibility survey and documentation addressing applicable ADA requirements. We still need to establish the actual operations.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Elevator
The château has an elevator, which also serves the laboratory. I’m obtaining the inspection certificate and confirming how the professor’s visits were accommodated.
Columbia also helps with the gatherings. I’m still determining her status. I appreciate that the staff list is becoming less straightforward.
Alison’s newsfeed | A developing story
Authorities investigating three suspicious deaths at historic château
Fictional news brief: Authorities are investigating reports of three deaths involving individuals identified as Frank, Rocky, and Columbia. Witness accounts refer to an unusual handheld weapon. The circumstances remain under investigation.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Please confirm immediately
I have just seen a news report concerning three suspicious deaths at the château. Please confirm whether the individuals identified as Frank, Rocky, and Columbia are the same individuals discussed in your submission.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Updated information
Yes, unfortunately. I’m still gathering details, but the staffing and occupancy information I sent you will need updating.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: The laser
The report mentions a weapon. Is this the same laser you described as a security device?
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Awaiting clarification
Possibly. I’m waiting for clarification from the remaining staff.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Pending clarification
Please obtain that clarification before anyone else uses it.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Quick property question
While we’re waiting on those items, a quick question about your Commercial Property coverage.
If transit coverage is available, would that apply strictly to business personal property, or could it extend to the building at the described premises?
I appreciate that’s an unusual question. There has been a development.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: What is being moved?
What is being moved, by what means, and to where?
Please explain the development before we discuss coverage.
For clarity, no coverage has been quoted or bound.
TO: Alison Grant
FROM: Daniel Reed
SUBJECT: Revised location
The château itself has departed.
The onsite staff advises that it is returning to its planet of origin. They have not provided a destination address.
Rather than withdraw the submission, could we suspend underwriting until I can confirm the new described premises?
The professor remains here and would still like to explore his options.
TO: Daniel Reed
FROM: Alison Grant
SUBJECT: Submission closed
I’ll close the current submission. You may resubmit once you have a fixed location, a complete description of operations, and confirmation that the property is within our underwriting territory.
Please include the planet.
Formal file note
Submission closed. Château departed scheduled location before underwriting could be completed. No coverage bound.
Alison’s private message to a colleague
Apparently the whole building took off.
I spent three days asking for an evacuation plan when I should have been asking for a boarding pass.
I would have packed the gold heels.
Know the operations behind the label.
“Rental property” describes an appetite category. It does not establish what happens at the premises. A useful submission explains occupancy, employment relationships, actual duties, events, equipment, loss history, controls, and location. An Agent of Record letter does not replace that information.
